RentDesk

The rent ledger you can talk to.

Two to twenty units, run off a phone and a notebook. Say a payment and it is written down. Photograph a receipt and it lands on the right tax line. Ask what is owed while you are still in the car.

No card. The sample portfolio is read-only; your own account is not.

From paper to a reviewed record

Keep the receipt with the number.

Scan a photograph, check the suggested fields, then save the expense and its receipt together. You decide the amount, property and category.

Illustrated workflow: a phone captures a receipt, a magnifying glass represents review, a ledger retains the record, and a folder represents export.

The screen you open every morning

Who paid, who is short, who is late

One line per lease, not per unit — so a duplex rented as A & B counts once, at one rent. Figures line up because they are tabular; status is a colour and a glow, so it reads at arm’s length.

Vera

A ledger that takes dictation

Every free landlord app expects you to be sitting down with two hands. Vera does not. Tell her the rent came in, the plumber was ninety-five dollars, unit four has a leak — or ask her what is still outstanding — and she reads it back before a single row changes.

What happens when you say “Alex paid twelve hundred”

Nothing is written until you say yes. The refusal is in the server, not in Vera’s instructions — a model can forget an instruction, it cannot forget a rejected request.

Receipts

Photograph it in the parking lot

The amount, the date, the shop and the tax category are filled in for you, then shown for correction before anything is saved. The reading happens on your phone — no scan fee, and nothing about what you spend is sent anywhere to be read.

  • The photo is kept beside the entry, so the paper is still there in April.
  • Ace Hardware becomes Repairs. City Water becomes Utilities. You can see why.
  • A receipt it cannot read still files — you type four fields instead of six.

January

The shoebox, already sorted

Your year arranged on the actual Schedule E lines, a column per property, with anything that belongs to the whole portfolio kept in its own column rather than quietly attributed to the wrong building. Download it as CSV and your accountant opens it in whatever they already use.

A categorisation aid, not tax advice. Depreciation stays your accountant’s calculation.

Where a dollar goes, from the porch to your accountant

Every entry carries the property and a Schedule E line from the moment it is made, so January is a download rather than a weekend.

Everyone gets their own sign-in

You, your partner, a property manager — an email and a password each, with an owner, a manager and a read-only role. Every entry is stamped with the name of whoever made it, so who marked that paid has an answer. Changing a password signs every other device out on the spot, and removing somebody ends their access immediately rather than at expiry.

There is no shared code. Passwords are hashed with bcrypt at cost 12, and the session cookie carries a random secret whose hash is all the database ever holds.

Repairs

The wrench costs what it costs. Forgetting it costs more.

What RentDesk does not do

There are a dozen good landlord apps and several are free. If what you need is on this list, buy one of those instead — genuinely. RentDesk is the narrow tool for the part they all make you sit down for.

It does not collect the rent

No ACH, no card, no tenant portal. Your tenants pay you the way they already do; RentDesk records that they did.

It does not screen tenants

No credit or criminal reports. That is a regulated product with its own per-report economics, and the free apps already do it well.

It does not post your listings

Nothing is syndicated to Zillow or Apartments.com. RentDesk starts once somebody is already in the unit.

It does not read your bank

No bank feed. Expenses arrive by photograph or by voice, which is why nothing about your spending needs a connection to your accounts.

What is actually ours

Record and review with Vera

Vera connects to twenty-two workspace actions. Fourteen actions change or delete records and require confirmation. Ask her to read back a proposed entry, check the property and amount, then confirm before saving.

Receipt text recognition runs in your browser. Review the suggested date, amount, property and category before saving the expense with its receipt.
